View Customer and Booking Details

The Booking Details screen brings together the information stored for one TailDesk booking. Use it to review the service and dates, customer details, booking status, notes and pricing information before making changes.

Open a booking

  1. Go to TailDesk > Bookings.
  2. Find the booking you want to review.
  3. Open the booking to go to Booking #ID.

The screen also includes a Back to bookings link so you can return to the overview.

Booking details

The main booking section shows the core information that defines the request:

  • Service
  • Status
  • Start date
  • End date

If a historical booking refers to a service that has since been removed, TailDesk can still show the original service ID with an Unknown service label instead of losing the booking reference.

Customer details

The customer section contains the contact and request information stored with the booking, including the customer name, email address and customer note. Phone information may also be part of the booking data and notifications where configured.

Use this information to confirm who made the request and to review any information the customer supplied before accepting or changing the booking.

Customer note and Internal note are different

Customer note belongs to the customer request. Internal note is for your own administrative workflow and is not part of the standard public booking form output.

Internal notes are useful for staff instructions, follow-up reminders or operational information that should remain separate from the customer’s message.

Review or change the booking status

The available booking statuses are:

  • Pending
  • Confirmed
  • Rejected
  • Cancelled
  • Completed

Status changes can affect availability. Pending, Confirmed and Completed bookings consume capacity, while Rejected and Cancelled bookings do not.

For example, changing a Pending booking to Rejected frees its dates. Changing a Cancelled booking back to Confirmed can fail if another booking has used the available capacity in the meantime.

Review or change the booking dates

The Start date and End date can be edited from Booking Details. TailDesk validates the updated range and checks capacity before saving changes that would affect active booking days.

Unlike the public Booking Form, administrators can use past dates. This is useful when correcting historical bookings or entering bookings that were handled outside TailDesk.

Pricing summary

The core pricing summary shows the stored Price per day and Billable days for the booking. TailDesk stores pricing as historical booking data, so later service price changes do not silently rewrite an existing booking.

When booking details change in a way that requires a new pricing result, TailDesk can recalculate the price as part of the update workflow.

Additional Booking Details with TailDesk Pro

TailDesk Pro extends the same Booking Details screen with additional information and controls where the relevant features are configured.

  • Custom booking fields – review the service-specific fields and values captured when the customer booked.
  • Detailed price breakdown – review and adjust stored base price, service extras, Day Rule adjustments and custom manual adjustments.
  • Excluded days – exclude individual dates inside a broader booking range without changing the original Start and End dates.
  • Location information – when Route Planning is active, review or confirm the geocoded booking location.
  • Invoice documents – when Pro multiple invoice documents are enabled, generate and manage invoice documents from Booking Details.

Google Calendar synchronization in Pro

If the service is connected to Google Calendar, TailDesk Pro can synchronize booking changes with the linked calendar. Date changes can be pushed to Google, and status changes determine whether the TailDesk booking should keep a Google event.

Pending, Confirmed and Completed bookings require a Google event when synchronization is active. Rejected and Cancelled bookings should not keep that linked event.

Save your changes

After reviewing or changing the booking, click Update Booking. TailDesk validates the updated data before saving it.

The Booking Details screen is therefore not only a read-only summary. It is the main place to inspect and maintain an individual booking throughout its lifecycle.
