Change the Status of a Booking

TailDesk uses booking statuses to show where a booking is in your workflow. Changing a status can also affect service availability, because some statuses continue to reserve capacity while others release it.

Open the booking

  1. Go to TailDesk > Bookings.
  2. Find the booking you want to update.
  3. Open the booking to go to its Booking Details screen.
  4. Choose the new value in the Status field.
  5. Click Update Booking.

How status changes affect availability

Pending, Confirmed and Completed bookings consume capacity for the dates they cover. Rejected and Cancelled bookings do not.

This means changing a Pending or Confirmed booking to Rejected or Cancelled releases its capacity. Those places can then become available to other booking requests.

The reverse is also important. If you change a booking from a non-capacity status such as Cancelled back to Pending or Confirmed, TailDesk checks whether the booking dates still fit the available capacity before saving the change.

Why a status change can fail

A booking that currently does not consume capacity may no longer fit if another booking has taken the available places since it was cancelled or rejected.

For example, suppose a Cancelled booking covered 10–12 June. If those dates have since become full, changing that booking back to Confirmed can fail because TailDesk revalidates the date range before allowing it to consume capacity again.

Pending bookings already reserve capacity

A new public booking request is created as Pending. You do not need to confirm it before it affects availability. This prevents several undecided requests from all claiming the same final capacity at the same time.

Completed bookings still count

Completed remains a capacity-consuming status. This mainly matters when reviewing historical dates, because completed bookings continue to represent capacity that was actually used on those days.

TailDesk Pro and Google Calendar

With TailDesk Pro, status changes can also affect Google Calendar synchronization when the service is linked to a Google calendar.

  • Pending, Confirmed and Completed: the TailDesk booking should have a linked Google Calendar event.
  • Rejected and Cancelled: the linked TailDesk booking event should be removed.

This keeps the Google calendar aligned with the booking statuses that actually consume TailDesk capacity.

Changing several bookings at once

The TailDesk > Bookings overview also supports bulk status actions. After selecting multiple bookings, you can mark them as Pending, Confirmed, Rejected, Cancelled or Completed in one action.

Use bulk changes carefully, especially when moving bookings back into a capacity-consuming status, because availability rules still matter for the affected dates.
